How we keep your documents safe

When you send us a tender pack, your evidence or a draft, these are our promises about it. Each one links to the part of our privacy notice that backs it.

• Your files are kept separate

  Your files go in your company's own private folder. Only your colleagues, the reviewer working on your bid and ClearBid can open them.

  They are stored in the UK (London) and our storage provider encrypts them.

• Never used for another client

  We use your documents only for your work. We never use one client's material in another client's bid, and we never share it.

  When we reuse past answers, we only reuse your own. Our system refuses to link one client's answers to another client's order, and every reviewer checks that no other client's information appears in your bid.

• AI providers can't train on your documents

  We use AI only through Anthropic's commercial service for businesses. Its terms rule out training AI on your documents.

  Anthropic keeps what we send for a limited period (currently up to 30 days) to check for misuse, then deletes it.

• A published deletion schedule

  Our policy is to delete your tender documents, your evidence and your interview answers 12 months after our last work for you.

  You can ask us to delete them sooner.
